Booking Terms and Conditions
Confirmation of Booking
All bookings need to be made in writing via the online booking form, or by post, fax or email to the study centre.
Your booking will be confirmed by email within 5 working days of receipt. Joining instructions/course outlines will be sent out electronically within four weeks prior to the event or with the confirmation details if the booking is made within four week prior to the event.
The study centre will endeavour to confirm your first choice date at the time of booking, however where this is not possible you will be offered an alternative date subject to availability.
Amendment to booking
Any requests to change the date or other details of a booking will dealt with in a reasonable manner and the study centre will assist wherever possible to accommodate these changes with no charge, with exception to the cancellation policy below.
Cancellation of Booking
Cancellations or reduced student numbers should be notified to the study centre as soon as possible so that the places can be offered to other schools.
Cancellation charges will be applied as follows:
Absence on the day of the event or cancellation within 15 working days of the event will incur a charge of 50% of the value of the original booking.
Cancellation notice received more than 21 days before the event – no charge.
Payment
Your school / organisation will be invoiced for full cost of the course following attendance on the event. Payment can be made via cheque payable to STFC Study Centre or via BACS as per details on invoice within 28 days of invoice.
Discounted Charges
The study centre offers a 10% discount on the complete value of the booking when two or more events are booked (or two or more dates of the same event) with a minimum of 35 students booked on each event. This discount will be detailed on the invoice.
Photography
Centre staff may photograph or film students participating in activities. These may be used for publicity purposes for the study centre. We will only use group pictures and never associate the image with the individual children. Please advise the centre prior to the event if your school has any objection to this.
Data Protection
Student data may be stored on a database for the purpose of recording attendance and providing statistical reports to local authorities / government bodies.
Insurance, Health and Safety
All events are covered by public liability insurance and full Health and Safety Risk assessments are conducted prior to each event. The Centre Manager is trained to administer Emergency First Aid and holds a valid First Aid Certificate.
Staffing
All study centre staff are CRB checked. The study centre will provide optimum teacher / student ratios to support your students learning, however we ask that you provide supervisory staff of 1:6 students if possible.
Refreshments
The study centre will provide fruit to students during morning breaks and squash and water will be available throughout the day. Students need to bring a packed lunch.
